The cost of writing something down is close to zero, which is the property that determines whether a task system is actually used. Everything else, including the projects, labels, filters, and views, is organisation applied after the fact rather than a tax paid at entry. The free Beginner plan covers 5 personal projects, Smart Quick Add, task reminders, flexible list and board layouts, 3 filter views, 1 week of activity history, plus email and calendar integrations and access to Ramble. For a single person tracking their own work, that is often the whole product. Pro raises the ceiling substantially: 300 personal projects, calendar layout, task duration, custom task reminders, 150 filter views, full reporting history, Task Assist, and unlimited Ramble. The jump from 3 filter views to 150 is the meaningful one for anyone who runs a review-based system, because saved filters are how you build a weekly review that assembles itself. Business adds everything in Pro for every member plus a shared team workspace, up to 500 team projects, team activity logs, shared templates, up to 1,000 team members and guests, team project folders, and team roles and permissions. Pro and Business are sold per user per month, plus local tax. Who it is for: individuals who want a reliable personal system, and small teams who want shared lists without adopting a full project management platform. It is deliberately not a replacement for a tool that tracks sprints, dependencies, and resource allocation. How it compares: Things 3 is more elegant and a one-time purchase, but Apple-only. TickTick bundles a calendar, habit tracking, and a Pomodoro timer into a similar price point and is the closest feature-for-feature rival. Microsoft To Do is free and adequate if you already live in Microsoft 365. Notion and ClickUp can both model tasks but are slower to capture into, which is precisely the tradeoff Todoist refuses to make. Asana and Linear are team project tools that outclass Todoist on structured delivery work and are heavier than any individual needs. Todoist's advantage is capture speed, cross-platform reliability, and a free tier you can live in; its limit is that it manages tasks rather than projects. Pick it if the problem is remembering commitments rather than coordinating a team.
