Notion

Notion is a single workspace that tries to absorb the tools a team would otherwise buy separately: documents, a wiki, a task tracker, and a lightweight database, all assembled from the same underlying blocks. The idea that makes it work is that every page is a database row and every database row is a page. A project brief is a document somebody writes in, and simultaneously a record with a status, an owner and a due date that appears on a board somewhere else. Teams usually arrive for meeting notes and, six months later, the same workspace holds the roadmap, the hiring pipeline, the customer list and the public help centre. That gravity is the appeal, and eventually it is also the problem. What Notion is genuinely excellent at is being the place a small company writes things down. It removes the argument about where a document should live, it is pleasant enough that people actually use it, and the databases are flexible enough to model almost any process without asking anyone to learn a schema. The honest limitations are well known. Large databases get slow, and a base with tens of thousands of rows is not a happy place. Search is weak relative to the volume of content the tool encourages you to create. Offline support is limited. And while the project views look like a project management tool, teams doing serious delivery work usually end up alongside Linear or Jira rather than inside Notion. Pricing is freemium and the free tier is unusually usable: unlimited for a single person, with multi-member workspaces capped by a block limit rather than a trial clock, plus 10 guests, seven days of page history and 5MB file uploads. Paid plans are Plus at 10 dollars per member per month and Business at 20 dollars per member per month, with Enterprise priced on request; annual billing saves up to 20 percent. Because it is per member, cost lands exactly when adoption succeeds. The comparison set: Coda is the closest philosophical rival with stronger formulas and automation; Airtable is the better database and the weaker document editor; Confluence is the enterprise wiki answer; Obsidian is local-first, markdown and essentially single-player; and ClickUp or Linear are what you reach for when the work tracking has to be real. Choose Notion when the bottleneck is that knowledge lives in people's heads and DMs rather than anywhere a new hire can find it.
