ClickUp is an all-in-one work platform that combines tasks, docs, whiteboards, goals, dashboards, chat, and time tracking in a single workspace, with an unusually capable free tier and AI sold as a separate per-seat add-on. The pitch is consolidation. Most teams run projects in one tool, documentation in another, and planning in a third, then spend real time keeping the three in sync. ClickUp's argument is that a task, the doc that specifies it, and the dashboard that reports on it should be the same object in the same system. The practical consequence is enormous configurability: multiple view types over the same data, custom fields, custom statuses per space, automations, and a hierarchy of workspace, space, folder, list, task, and subtask. Free Forever is genuinely usable rather than a demo. It includes 60MB storage, unlimited tasks, unlimited free plan members, two-factor authentication, collaborative docs, Kanban boards, sprint management, calendar view, a basic custom field manager, in-app video recording, 24/7 support, and 1 form. The binding constraint on the free plan is storage and advanced feature gating, not seat count, which is unusual and makes it viable for a small team indefinitely. Paid tiers are per user per month. Unlimited is $10/user monthly or $7/user billed yearly. Business is $19/user monthly or $12/user billed yearly. Enterprise is custom-quoted. AI is priced separately: Brain AI is $9/user monthly, or roughly $7.20/user with the 20% yearly discount, and covers the Brain assistant, the Brain agent, AI chat across Claude, ChatGPT and Gemini, expanded premium model use, unlimited AI writing, and enterprise workspace search. Everything AI is $28/user monthly, roughly $22.40/user annually, and adds agentic features including ambient answers, an AI notetaker, image generation, and AI fields. Budget the AI add-on as a real line item, because at the Everything AI tier it costs more than the underlying Business seat. Who it is for: small to mid-sized teams that want one subscription instead of four and are willing to invest setup time. It rewards a team with someone who enjoys configuring systems and punishes one that wants sensible defaults out of the box. How it compares: Asana and Monday.com are cleaner and faster to adopt, with less configuration surface and correspondingly less power. Notion is stronger for documentation and knowledge management and weaker for structured project execution at scale. Linear is far better for software engineering teams specifically, being opinionated and fast where ClickUp is flexible and heavy. Jira remains the default for large engineering organisations with formal process requirements. ClickUp wins on breadth per dollar and loses on speed and simplicity. Choose it when the cost of running four tools, in both money and context switching, has become the actual problem.
