Airtable

Airtable is a relational database wearing a spreadsheet's clothes. It looks close enough to a spreadsheet that a non-technical team will adopt it without training, but underneath it has real field types, real links between tables and real automation, which is why it so often becomes the system of record for a function nobody built software for. The building blocks are bases, tables and fields with genuine types: attachments, single and multi-select, links to records in another table, lookups and rollups that pull values across those links. On top sit views, so the same data appears as a grid to one person, a kanban board to another and a calendar or timeline to a third. Interface Designer turns a base into something that looks like an internal app for people who should never see the raw table, automations handle the routine writes and notifications, and the more recent AI and app-building layer generates a good deal of that scaffolding for you. The honest limitation is that Airtable is a tool you outgrow, and it is priced so that outgrowing it is expensive. It is delightful at 500 rows and awkward at 500,000. Record ceilings, attachment limits and API rate limits all bite eventually. Because billing is per seat, the cost arrives at exactly the moment a workflow succeeds and more colleagues need access. Read-only sharing and interfaces soften this, but they do not remove it. Pricing: the free plan covers individuals and small teams with the core building blocks. Team is 20 dollars per seat per month billed annually, Business is 45 dollars per seat per month billed annually, and Enterprise Scale is quoted. A ten-person operations team on Business is therefore about 5,400 dollars a year, which is the number worth putting in front of anyone before the base becomes load-bearing. The comparison set: NocoDB and Baserow are the open-source, self-hostable answers and the direct response to per-seat cost; Notion databases are better at documents and weaker at data; Coda sits between the two; Smartsheet targets project-heavy enterprises; Google Sheets with Apps Script remains the free option that many teams should honestly still be using; and once a workflow genuinely matters, Postgres or Supabase with Retool or a small internal app on top is the destination. Choose Airtable when a spreadsheet has quietly become the system of record and the pain of that is starting to show.
